
DOG DAY CARE & BOARDING TERMS AND CONDITIONS

As a Day Care and Boarding service for dogs, we ask you as the client to adhere to the following conditions:

The Collar Club Staffs® reserves the right to make or change minor points or amendments in this agreement without notice to you, and to notify you by posting an updated version of these Terms on the website (thecollarclubstaffs.co.uk), at which point they will become immediately effective.

I understand that, under the Control of Dogs Act 1992, my dog(s) must wear a collar and an identity tag and must be microchipped (NB. From March 2017, all dogs must be microchipped by law).

I understand that my dog must have up-to-date vaccines, which includes Bordetella (Kennel Cough), and that vaccination certificates must be provided to The Collar Club Staffs® and any updates and/or changes on the vaccination certificates should be notified to the Manager as soon as possible. The Collar Club Staffs® does not accept titre testing. We are unable to accept a dog for day care or boarding if a copy of an up-to-date vaccination certificate is not provided on arrival.

I agree to worm and de-flea my dog(s) regularly as per recommended schedules.

I understand that my dog must not display excessive mounting, aggressive or marking or destructive behaviours and persistent barking. Bitches must not be brought in when in season. We will not accept any unneutered males (over 12 months old). Whilst we will make every effort to manage any unwanted behaviours as described, we reserve the right to retire dog(s) from our facility if the behaviours mentioned above are persistent.

I understand that my dog(s) will be in an open play area and off the lead in suitable areas located within our secure facility. Under no circumstances will a dog be walked off the lead, even if requested by the owner. I understand that during normal dog play and agility, dogs may sustain slight injuries. All dog play is monitored at The Collar Club Staffs® to avoid injury, but scratches, punctures, torn ligaments and other injuries may occur despite the best supervision.

I understand that even if my dog is vaccinated against Bordetella (Kennel Cough) there is a chance that my dog can still contract Kennel Cough. I agree that I will not hold The Collar Club Staffs® responsible if my dog contracts Kennel Cough while attending The Collar Club Staffs® and I will comply with The Collar Club Staffs® Prevention of & Control of the Spread of Infectious Diseases procedures.

I agree to notify The Collar Club Staffs® of any infectious or contagious disease that my dog has been exposed to or is affected by and agree to the The Collar Club Staffs® Dog Boarding Cancellation Policy and Prevention of & Control of the Spread of Infectious Diseases procedures.

I agree to notify The Collar Club Staffs® of any changes regarding my personal contact details.

I agree to notify The Collar Club Staffs® of any changes regarding my dog’s behaviour, training needs, health issues and/or any other relevant details that might affect my dog or other dogs under the care of The Collar Club Staffs®.

I understand and agree that my dog(s) will be re-assessed for Day Care/Boarding if he/she has not used these services for 12 months since their last stay with us.

I understand that I am responsible for any harm caused by my dog at The Collar Club Staffs®, whether to dogs or other patrons or staff. I shall indemnify and hold The Collar Club Staffs® harmless against any claims made against The Collar Club Staffs® or losses or damages of any kind suffered as a result of my dog. I understand and agree that in admitting my dog to The Collar Club Staffs®, that the staff has relied on my representation that my dog is in good health and has not harmed or shown aggressive or threatening behaviour towards any person or any other dog. I understand and acknowledge that The Collar Club Staffs® strongly recommends for my dog(s) to be covered by Third Party Liability Pet insurance and general Pet Insurance; such insurance(s) will be required should my dog(s) a) requires life threatening emergency veterinary care with your permission via our approved Vet, b) injures another person, c) injures another dog or, c) damages property while at The Collar Club Staffs®. I also understand and agree that if my dog(s) are not covered by Third Party Liability Pet insurance and general Pet Insurance, I will be responsible for covering the expenses specified above and any additional expenses arising from damages caused by my dog to other persons, other dogs and property while at The Collar Club Staffs®.

To ensure my dog’s wellbeing, I agree to him/her going into the quiet area for rest periods when necessary.

Although we make every effort to provide dogs with enclosed, safe spaces, we cannot guarantee a dog will not escape from our premises. The fencing installed is at a minimum height of 6 feet. If your dog tends to jump fences, you assume all risks of bringing him/her to our premises and release The Collar Club Staffs®, its owners, employees or agents of any liability or any damage whatsoever arising from the fencing provided.

The Collar Club Staffs® reserves the right to withdraw any current promotions, deals, offers or discounts at any time.

By becoming a user of The Collar Club Staffs® Day Care and/or Boarding services you agree and give The Collar Club Staffs® consent to store yours and your dog(s) personal details provided to us by you via the Day Care/Boarding registration form. The Collar Club Staffs® will never pass on or sell your personal information. Your membership information is stored in a secure database and we use this data for you and your dog(s) to gain access and to administer your membership account. At The Collar Club Staffs® we take your privacy seriously and will only use your personal information to:

Provide you with the services you have requested from us.

Ensure you gain access to our premises.

Ensure all dogs enjoy a safe stay.

Consent: I the undersigned parent/ dog owner or guardian/participant do hereby grant authority to the staff at The Collar Club Staffs® to render a judgement concerning veterinary care in the event of an accident or illness during my absence. I do hereby authorise The Collar Club Staffs® and its assigns to utilise any and all photographs, pictures or other likenesses of me or anyone/dog assigned guardianship to me, as they deem appropriate in its promotional materials.

CANCELLATION POLICY

Dog walking: We politely request that all cancellations be made in writing. Any dog walking bookings cancelled within 7 days of the scheduled check-in date will be chargeable.

Day care: We politely request that all cancellations be made in writing. Any day care bookings cancelled within 7 days of the scheduled check-in date will be chargeable.

Drop-in: We politely request that all cancellations be made in writing. Any drop-in bookings cancelled within 7 days of the scheduled check-in date will be chargeable.

Boarding: We politely request that all cancellations be made in writing and with a minimum of 30 days notice of the scheduled check-in date.​ Any boarding bookings cancelled within 30 days of the scheduled check-in date will be chargeable.

FEES
Peak Rate & Enhanced Peak Rate : Due to the high demand for Pet Care Services during the holiday season, bookings that include public holidays & Easter Sunday will be priced at Peak Rate. Xmas Eve, Xmas Day, Boxing Day, New Years Eve & New Years Day which will be priced at Enhanced Peak Rate. Peak Rate is 1.5 x standard service fee per applicable public holiday day. Enhanced Peak Rate is 2.0 x standard service fee per Xmas Eve, Xmas Day, Boxing Day, New Years Eve & New Years Day. All standard fee's are located in the Services and Fees section.

MEET & GREET
​
​
Prior to accepting any new Day Care or Boarding dog(s), it is our policy to complete a minimum of one meet and greet in person, including the owners and the relevant dog(s). It may be appropriate to organise repeat sessions to fully socialise any new dogs. These will be discussed with the owners in advance.

The meet & greet includes the following;
​

Initial 10 minute walk around the local park on the lead. A member of The Collar Club Staffs® team will accompany together with the house dogs and monitor initial interactions, looking for signs of any aggression, fear or anxiety.

If children are present, we will establish if the dog(s) is/are particularly protective. If this is the case, they will be encouraged to remain in the vehicle with an accompanying adult.

Assuming the walk goes well we will return to the property and access the rear garden via the side gate. At this point the new dog(s) will be encouraged off the lead whilst a member of The Collar Club Staffs® team will retain control of the house dogs on the lead, again monitoring initial interactions, looking for signs of any aggression, fear or anxiety.

Throughout a member of The Collar Club Staffs® team will monitor how the dog(s) interact with people, their owners and of course the house dogs. Occasionally we may have to put the house dogs inside the property if we observe any concerning behaviour.

If the experience is going well, we will encourage the house dogs to play off the lead.

At the end of the meet and greet we will agree to at least one trial day, which can be a ½ day or full day without the owners being present. It’s not unusual to repeat this process if a dog shows signs of being nervous or having some separation anxiety.

If the owner is looking to book an extended overnight period, we will agree to at least one overnight trial to be completed prior to the main booking, again to help the dog transition to the new surroundings and reduce stress and anxiety whilst giving the owner peace of mind.

All trial bookings are chargeable as outlined within the fees section.

NEW ARRIVAL CHECK-LIST

You will need to provide food for your dog(s) for the duration of their stay at The Collar Club Staffs® and if their meal time is during their Day Care stay.

Provide copies of up-to-date vaccine records, including Bordetella (Kennel Cough) and micro chipped.

You will need bedding, including crate if crate trained.
​​

No bitches in season and all adult male dogs must be neutered.
​

Ensure your dog has their collar, ID tag and leads.

A completed New Enquiry Information Request form.

Any relevant medication and instructions, where appropriate.

In accordance with our insurance policy, all arrivals/departures are completed curbside so please ensure your dog is always on their lead during handover.
